The situation
AssetCare is a fund administration business: a firm whose entire value sits in getting complex, high-volume operational work right. Reporting, communication, and internal processes were central to the business, and most of it ran on manual effort and spreadsheets.
That works until it doesn’t. Spreadsheets that quietly become load-bearing create operational risk, slow the team down, and cap how much the business can take on without adding headcount in lockstep. The firm was carrying that cost on every cycle.
What set AssetCare apart was foresight. They could see the growth coming, and they knew a business running on Excel would not be able to absorb it. So rather than wait for manual work to become the ceiling, they came to Xeco Labs with a clear brief: build the platform that would fuel the firm’s growth for the years ahead.
Why off-the-shelf software was not the answer
Off-the-shelf products did not match the firm’s established workflows, its ownership needs, or the operating model it wanted to keep. Adopting a generic tool would have meant rebuilding the business around someone else’s assumptions, and giving up control of infrastructure that was core to how it competed.
What Xeco Labs did
We translated the firm’s operations into system workflows, then designed and built the infrastructure to run them. The relationship did not stop at launch. Over a multi-year SLA, we kept adding meaningful, paid feature development as the business found new things it needed the system to do. The infrastructure grew with the firm.
What we built
A system that digitized the firm’s investor administration for its investment funds, with the workflow automation, reporting support, and admin workflows the operation ran on. On top of it, an external portal that gives fund managers and investors clear insight into the key features of each fund. The system the firm ran on, not a tool bolted onto the side of it.
What changed
Manual workload dropped, and the productivity the firm got back went straight into growth. The business could expand operations without the linear headcount increase that manual work demands, and the infrastructure kept expanding to meet new needs as they appeared. Over four years, it became core business infrastructure rather than an efficiency project.
The proof
For four years this was 24/7 business-critical infrastructure. Then AssetCare was acquired by Trustmoore, a Luxembourg-based company — and the business carried on as an independent brand, still running on the infrastructure we built. The system was not replaced or absorbed into the acquirer’s stack. It was solid enough, and central enough to how the business works, to carry straight through an acquisition rather than be thrown away in one. That is its own kind of proof.
In their words
Xeco Labs has been crucial in digitizing our investor administration for investment funds, successfully leveraging their technical expertise alongside their understanding of asset management. Their services have significantly improved our operations and efficiency, and the external portal provides fund managers and investors stylish insight into key fund features. Working with Xeco Labs is truly a pleasure, as they consistently provide proactive solutions and think beyond just the specifications.
The takeaway
When a financial operations business runs on manual workflows, the right infrastructure is not just an efficiency tool. It becomes a growth enabler, and an asset the business is built on.
